Re: 2006-2007 Interstate Discounted Moving Price Agreements
New non-exclusive pricing agreements for discounted interstate moving expenses through June 30, 2007 have been signed with the companies listed in this memorandum. The list sets forth the parent company name, contact name, phone number, and line haul discount rate for this agreement period.
Please note that the number of moving companies that have committed to firm price agreements with the University for this fiscal year is down significantly from past years. We are told that it is because of the very competitive and malleable business climate that is currently present within the industry. While the two companies who have committed this year are non-exclusive, and you are free to contact other moving companies for quotes, the listed companies are dedicated to providing firm, stated discounts and service to the UO community.
It is recommended that you look beyond the line haul discount percentage to get your best value, considering a number of factors in the total cost associated with the move: net insurance costs, storage costs, minimum weight restrictions, compensation for shipments not picked up or delivered on time, etc. Please remember that the pricing agreements with the UO assure only that the applicable van line give the discount off the tariff rates which is set forth in the pricing agreement. It is up to each particular individual/department who is contemplating a move to contact the company(ies) and get a full estimate.
Departments will have to contact van lines to get estimates, being prepared to offer the zip code at each end of the move. This puts more pressure on van lines to give more accurate estimates. A copy of the agreements may be viewed in the Business Affairs Office.
IMPORTANT REMINDERS:
1. The discount rate applies only to interstate (into and out of Oregon) moves for new staff/faculty, terminating/retiring staff/faculty, and in some instances (depending on the contract), also for students;
2. To receive the discount, the department must contact the local agent listed to verify the individual's eligibility to receive the discount;

4. If the UO is paying for all or part of the moving expense, the department must
a) obtain advance approval (Academic departments should seek approval first from the Deans/Directors Office, then from the Vice President of Academic Affairs. All other office should seek approval from the appropriate Vice President); and
b) provide the local agent with a purchase order, if required, or written authorization to bill the UO directly for their portion of the expenses;

5. UO does not sign and is not a party to the actual moving contracts but does provide a supporting price agreement. Actual moving contracts are between the moving company and the individual.
6. These agreements are non-exclusive. This means that University departments are not obligated to obtain quotes and/or services only from the companies listed. University departments may obtain quotes and/or services from companies not on this list.
Any moving or payment problems which cannot be resolved between the department and the van line should be referred to the Business Affairs Office, Contracts Manager at 346-3149.
